Press Room Guidelines
The American College of Allergy, Asthma and Immunology (ACAAI) is pleased to welcome the media to "Proud of Our Past, Preparing for our Future," November 3-8, 2011 at the Hynes Convention Center in Boston. The meeting is a recognized forum for peer-reviewed presentations of new research by allergists and allied scientists from around the world. As such, it provides a host of news opportunities:
Journalists are invited to report on the latest developments in the treatment of asthma, allergic diseases
and immunologic disorders – conditions that affect more than 50 million Americans.
Embargo Policy
Abstracts: Abstracts will be published in a Supplement to the November issue of Annals of Allergy, Asthma & Immunology. Journalists covering the meeting can obtain advance copies of selected abstracts by contacting the ACAAI Public Relations staff at media@acaai.org. The ACAAI embargo will lift on all oral and poster presentations at 12:01 a.m. EST on Saturday, Nov. 5th.
Scientific programs: All information unveiled at symposia and plenary sessions is embargoed until the day presented
as listed in the final program or press briefing materials.
Media Eligibility
Press badges are available to working journalists whose attendance at the meeting may result in print, broadcast or electronic coverage of the ACAAI and its individual members. Registration fees are waived for working press (editorial staff of newspapers, magazines, medical or health care publications, broadcast or Web-based media).
ACAAI does not issue media credentials to the following: a publication's advertising, marketing, public relations or sales representatives; publishers, editors or reporters from manufacturers; "house organs" or promotional publications; public relations staff of exhibitors or educational institutions; writers creating analyses or reports sold as a commodity to customers; or other individuals who are not actually reporting on the meeting.
Working media representatives may not be registered as exhibitors.
To obtain a press badge, identification certifying that you are a working member of the news media on assignment to cover the meeting is required. Business cards from established news organizations are sufficient to establish eligibility.
The ACAAI reserves the right to deny press credentials to anyone at anytime.
Advance Media Registration
Journalists may pre-register for an ACAAI press badge by submitting credentials, such as a business card or letter of assignment, to media@acaai.org by November 1st. Please include the completed registration form in your email.
Media registered by October 24th will receive an electronic press kit prior to the meeting. The annual meeting program is available online.
Media registered by October 24th, may pick up their press badge in the Press Room during hours (see below).
On-site Media Registration
Media not pre-registered must first check in at the ACAAI Press Room at the Hynes Convention Center with credentials, such as a business card or letter of assignment and fill out the media registration form. Badges will then be issued at onsite convention registration.
Information regarding press registrants is proprietary. ACAAI does not release the media registration list.
ACAAI Press Room
The Press Room in Room 204 at the Hynes Convention Center includes wireless internet and refreshments.
Staff is available prior to the meeting and onsite to assist in arranging interviews with faculty and investigators.

Use of the Press Room is limited to registered media and to meeting participants who are invited by a reporter or staff for an interview or press briefing.
Open to Media
All scientific programs are open to the press, as well as workshops, abstract concurrent sessions/poster presentations, and the exhibit hall. Ticket-holders have priority for seating. Media may attend complimentary social events listed in the program.
Meet the Professor Breakfasts are not open to press. Interviews with professors can be arranged by staff.
Audio/Video Recording
Only registered media with ACAAI Press Badges are allowed to have personal audio recorders in the meeting rooms. Recording of meeting scientific or educational programs for commercial or promotional purposes is not permitted.
Corporate and Institutional Press Materials
An area in the Press Room will be designated for corporate and institutional press materials, which are not subject to review by ACAAI. Press materials – not to exceed quantities of 30 – should be delivered in person to the Press Room during the operational hours noted above.
ACAAI does not endorse corporate and institutional press materials, and will display these materials strictly as non-ACAAI literature. The ACAAI logo may not be used without written permission.
